BIC / IBAN, the reality of updating bank references in your databases

by Michel Costandi, consultant, NEOFI Solutions

With the standardization of payments, domestic bank code (RIB in France) is not enough. A transfer order requires SEPA BIC and IBAN. Your reference must be updated. How to convert your references national ISO international codes? Your new references must be pre-validated pain to see your orders and rejected overcharged by your bank for invalid references.

The entry into force of the standard SEPA (Single Euro Payments Area) imposes, for any payments in the SEPA, the use of BIC (Bank Identifier Code) and IBAN (International Bank Account Number) instead the traditional RIB (bank details) or BBAN (Basic Bank Account Number), GDI is the BBAN of France. First type of payment involved, the transfer or SEPA Credit Transfer (SCT).

You have installed the latest versions of your software to benefit from these new fields, or you've opted for a smooth migration by intercalating within your applications do not support a repository BIC and IBAN-format converter. You are therefore fields with BIC and IBAN brand new for all of your suppliers and your employees. It'll just inform them. You had a good start to demand or receive from your partner to new codes and typed in the appropriate fields if they bobbed present in field notes or a spreadsheet if they did not exist. But the bulk of references remains BBAN.

Of course, you can contact each beneficiary partner asking him to provide his bank details and then complete the capture. This is undoubtedly the most reliable source.

Mass conversion
You can also make the mass conversion of national codes and international codes. Two ways to do this: to purchase from the repository SWIFT BIC Plus IBAN Directory or use a conversion service online. Several banks and service providers offer this service. The principle is simple: you make a file containing the BBAN to convert, you transfer to the claimant. it treats within more or less brief you and offers a file filled with the BIC and IBAN codes for each BBAN. It remains only to import these codes in your repositories. The deduction of the BIC has a major drawback. BIC identifies the bank (bank and agency). Some institutions however did not own BIC. They go through the intermediary banks BIC BIC called routing. On the other hand, the BIC may be more or less accurate. There are BICs to 8 or 11 characters. The code agency or office is only present in the code to 11 characters. The automatic conversion of BBAN IBAN or BIC in 11 characters is not always possible.

Identify the country of foreign accounts
If your repositories have accounts at institutions outside of France, make sure the proposed service properly handles the BIC and IBAN for each of your countries. In this case, the file for submission to the conversion service will include the country in addition to the various elements of BBAN. You have your base in the country of the supplier but not necessarily the content of the institution's account or may be you have this field but its content is not always reliable as before or sometimes seized with the same value that the supplier's country.
Gold service requires converting the country to be able to convert BBAN according to the rules of the country. Without a country, the reference is ignored and the BIC and IBAN codes correspondents will not be issued.

In some cases you have an IBAN code but not the corresponding BIC. In others, it looks ok but a typing error had omitted a character or, worse, replaced a number by another. An effective migration must take into account all relevant information available within your information system, albeit in different applications. This information can then be confronted with the standards and formats for each country to be automatically pre-validated, corrected, supplemented, or even deducted before being submitted for conversion services and validation. The BBAN unknown country may even be guessed using heuristics, making conversion possible.

Once the BIC and IBAN obtained and validated, they can be reassembled to update the various repositories of your applications.

Organize the collection
Of course, some references have not been converted as absent or incomplete. The workflow enrichment can still help by automating form submission by email. your partners will be invited to enter or correct their bank details and return the form. The returned forms are taken care by the workflow to submit references entered the process of validation and updating repositories. This collection can be arranged through a portal available to partners.

Keeping Up to Date
Even with updated references you're definitely not immune to release references to invalid. Your recipients change their debits. They do not always warn you immediately, which will result in rejection. Worse, banks may change their BICs in connection with restructuring or mergers. BIC Codes for all agencies and BNP Paribas have changed following the merger BNP-Paribas. Your repository needs to monitor these movements. It is therefore essential that the process of validation of your repository is iterative.

A project that must not be underestimated
dThe "BIC-IBANisation" of your repository is not simply a matter of a grinder or a standard solution that you find in commerce. It is truly a business project to initiate the early and sustain incorporation in your information system, in close conjunction with your solutions to accounting, cash management and telecommunications banking. This is the recurring cost of your remittances.
